IPC Employment holds the following personal information: name, date of birth, address, phone number(s), job seeker identification number, languages spoken, licences and access to transport, education and training history, employment history, referees / references, any barriers to employment / factors that may affect the job seekers ability to undertake particular jobs, job preferences, attendance, job searching efforts, job applications, job referrals and job referral outcomes, as well as employer and job details.

What kind of Sensitive information does IPC Employment hold?
IPC Employment may hold the following sensitive information on registered job seekers, only if the job seeker volunteers the information: membership to a professional or trade association and health information if it affects their ability to work. IPC Employment may hold the following sensitive information of job seekers attending Job Search Training or Intensive Assistance, only if the job seeker volunteers the information: criminal record and country of origin.

How does IPC Employment collect this information?
Where practical we will collect the above information directly from you. IPC Employment collects information when an individual completes a vacancy notification form, IPC Employment's registration form, assessment forms, attendance register, resume proforma or give IPC Employment a copy of their resume. Information is also gathered during interviews, emails and telephone conversations with IPC Employment staff. You are encouraged to help us keep your information accurate, complete and up-to-date by contacting the staff at IPC Employment and informing us of any changes to your details.

Does IPC Employment collect personal information from third parties?
As a contracted service provider to the Commonwealth Government of Australia to provide employment services, IPC Employment may also collect information from the Department of Employment and Workplace Relations (DEWR) and Centrelink. We may also collect personal information from any referees nominated by you, as well as from employers that you have attended job interviews with, only those interviews that you have been referred to by IPC Employment. IPC Employment also gathers information on employers from job seekers who have been referred to an interview by IPC Employment.

What are the main purposes for which IPC Employment hold the information?
IPC Employment holds this personal and sensitive information on registered job seekers to assist these job seekers in gaining suitable employment. IPC Employment holds personal information on employers to assist in finding suitable applicants for their job vacancies.

How does IPC Employment use the information?
IPC Employment uses the above information to assess job seekers' skills, abilities and barriers to employment to help the job seeker gain suitable employment. We also use the above information to screen and match suitable job applicants to suitable job vacancies. For Intensive Assistance and Job Search Training clients this information is used to develop individually tailored programs to improve the job seekers ability to gain employment.

How does IPC Employment protect the information it holds?
IPC Employment takes reasonable steps to protect your personal information from misuse, loss and unauthorised access, modification or disclosure. We ensure this by having security measures such as: individual password access to computer systems and databases and secure filing cabinets.

Does IPC Employment give personal information to anyone outside IPC Employment?
For monitoring and evaluation of Job Network Services the Department of Employment and Workplace Relations (DEWR) have access to some of the personal information that IPC Employment holds. Some of the information that IPC Employment holds on job seekers may be given to other Job Network Members and prospective employers who are offering suitable employment, to help you gain work. IPC Employment can only do this after we have received consent from the job seeker to disclose this information. Some information collected may be disclosed to Centrelink for administrative, evaluation and monitoring purposes. IPC Employment may disclose employer information to a job seeker where the employer has requested that we arrange an interview between the employer and the job seeker. This personal information may be given to third parties where allowed by legislation.

Does IPC Employment contract out services that involve disclosing personal information?
In some circumstances IPC Employment may refer a job seeker in Intensive Assistance to a psychological service for further assessment and this may involve disclosing some personal information. This is only done when the job seeker has consented to the referral and the disclosure of their personal information.

How does IPC Employment handle requests for access to personal information?
If a job seeker wishes to gain access to their personal information that is held by IPC Employment, they are required to put their request in writing (or completing the "Request for Access to Personal Information Form") and provide suitable proof of identity. This request must state what information the job seeker wishes to gain access to. Depending on the request the job seeker will be able to gain access to their information within 14 - 30 days of making the request. In some circumstances, IPC Employment may not be able to disclose all requested information.

How can an individual complain about a breach of privacy including a contact number in IPC Employment?
If you wish to complain about a breach of privacy, you should contact IPC Employment's Privacy Officer on (02) 9790 7721. You should inform the Privacy Officer of how you feel IPC Employment has breached your privacy. The Privacy Officer will then investigate the complaint and inform you of their response.
